Admin Guide (SqMetre)
This guide covers granting access to the Square Metre Calculator and what to know about how it behaves. To manage access rights, you’ll need the ability to manage users and user groups in Fishbowl Advanced.
This tool has no in-app settings — there’s no settings gear, no admin-only user group, and nothing to configure. Every user granted access gets identical functionality, so setup here is just about access, not configuration.
Installation & Multiple Databases
Section titled “Installation & Multiple Databases”Installation of the Square Metre Calculator is currently performed by ILC as part of onboarding — there is no self-service install today. If you need it installed on a new database, or set up for the first time, contact ILC to schedule it. After the installation is complete follow the setup steps below.
The Square Metre Calculator is licensed per Fishbowl company/database. If your organization runs multiple Fishbowl databases and wants it accessible in more than one, contact ILC — this needs to be provisioned for each database individually rather than extending automatically.
Setup Overview
Section titled “Setup Overview”The Fishbowl admin username always has full access to the CloudPages module and every Page in it, including the Square Metre Calculator, right out of the box — this can’t be revoked, and it’s the account you’ll use to do initial setup. From there:
- Log in as
admin. - Confirm the required Custom Fields exist (Custom Field module) so box/pallet math behaves as expected.
- (Optional) Delegate CloudPages access management (User Group module) to other users, if you don’t want to be the only one who can grant access going forward.
- Grant general users/groups access (CloudPages module) through the Access Rights button.
Each step is detailed below.
1. Confirm Required Custom Fields
Section titled “1. Confirm Required Custom Fields”The Square Metre Calculator reads two Custom Fields in Fishbowl. Confirm both exist with these exact names:
| Module | Field Name | Type | Purpose |
|---|---|---|---|
| Part | m2 Per Box | Text | Square metres covered by one box — used to convert a target square-metre quantity into a box count. |
| Part | Boxes Per Pallet | Text | Boxes per pallet — used to calculate total pallets. |
If either field is missing or blank on a Part, the tool treats it as 1 rather than erroring — so a missing m2 Per Box will make the math treat “1 box” as “1 m²,” which will look wrong on screen but won’t cause an error.
2. Delegate CloudPages Access Management (optional)
Section titled “2. Delegate CloudPages Access Management (optional)”Other users don’t automatically get into the CloudPages module itself, even other admin-level ones. If you want someone else to be able to open the CloudPages module — and from there, manage Page-level access rights the way described in Step 3 — create a new Fishbowl user group (or edit an existing one) and grant it the CloudPages - Page Access Rights user right, then add that person to the group. This is a broader grant than access to this tool alone: it covers the CloudPages module and access-rights management for every Page in it.
This right is also documented in ILC’s core CloudPages documentation — noted here too since it’s a common enough question that you shouldn’t have to go find it there first.
3. Grant General Access
Section titled “3. Grant General Access”Access to the Square Metre Calculator is managed through the ILC CloudPages module, installed alongside this tool. Only users or user groups that have been granted access will see the option within Fishbowl.
- Log in as
admin(or another user already granted CloudPages access) and open the CloudPages module in Fishbowl Advanced (Reporting > CloudPages). - Locate the Square Metre Calculator in the list.
- Click Access Rights on the far right of that row.
- In the Access Rights window:
- To grant access to an individual user, locate them by username and click the single right arrow ( > ) to move them to the access list.
- To grant access to a user group, locate it by name and click the single right arrow ( > ) to move it to the access list.
- To grant access to all users or all groups at once, use the double right arrow ( >> ).
- Click Save.
- Affected users will need to log out of Fishbowl Advanced and back in for the change to take effect.
Data Behavior Notes
Section titled “Data Behavior Notes”A few things worth knowing about how this tool’s data behaves:
The main grid only shows this order’s existing standard line items — items added as a different line type won’t appear here for editing.
“Available” quantity in Search New is company-wide, not location-specific. This tool sums available inventory across your entire company with no location-group scoping. If you operate multiple warehouses, the number shown may not match what’s actually available at this order’s location.
Search New searches the entire active product catalog, not this customer’s order history — any active product can be added, not just ones this customer has bought before.
How Items Are Added or Updated
Section titled “How Items Are Added or Updated”The two actions in this tool behave differently under the hood:
| Action | What happens |
|---|---|
| Adding a new item (Search New) | Added through the standard order-entry process. It inherits the Sales Order’s own tax code and QuickBooks Class (not the product’s own defaults), and uses the price shown in the calculator at the moment it was added. |
| Editing an existing line (Edit Line) | Only the line’s quantity and a note (recording the box count) are updated. The line’s price, tax code, and QuickBooks Class are all left exactly as they already were — even though the calculator shows a freshly-looked-up current price for reference while you’re editing. This is intentional: editing is meant for quantity adjustments, not re-pricing. |
If a customer asks why an edited line’s price didn’t change even though the calculator showed a different number, this is why.
How Updates Work
Section titled “How Updates Work”Feature updates and fixes to this tool show up on their own — you don’t have to install anything. The only kind of update that requires ILC to do something on our end is a deeper, occasional update tied to a Fishbowl version upgrade. When you upgrade Fishbowl, contact ILC and we’ll take it from there.
For our fellow tech enthusiasts who want the detail: this Page is deployed from ILC’s source repository and updates automatically — changes are live the next time the window is opened or refreshed, with no action needed from you. The underlying CloudPages plugin (the runtime that hosts this and other ILC Pages inside the Fishbowl client) does not currently auto-update — ILC deploys those updates manually, only when needed for Fishbowl version compatibility. If you run other ILC tools alongside this one, they share this same plugin — it’s the one hub all of them run through, not something installed separately per tool.
