Reconciling Fishbowl with QuickBooks or Xero in one AI chat

Imagine asking why inventory asset is off and getting back the three documents that explain the gap, matched across Fishbowl and your books.

If your inventory asset account doesn’t match Fishbowl at month-end, the answer is somewhere between the two systems: an order that never posted, an invoice nobody can trace back, a credit that went across twice. Finding it usually means two exports and a long afternoon in Excel. With ILC MCP connected to Fishbowl and your accounting system’s own connector in the same chat, you can ask the question once and have the AI compare both sides.

What Fishbowl knows about your books

Fishbowl keeps a record of everything it sends to QuickBooks or Xero. ILC MCP can read all of it, read-only:

  • Which sales, purchase, and manufacture orders have been sent, and which are still waiting.
  • What each one became in accounting: an invoice, a bill, an item receipt, or a journal entry, and whether it was voided.
  • The transaction number the accounting system gave back when it accepted each one.
  • Your chart of accounts as Fishbowl sees it, and your QuickBooks class mappings.

That’s enough to answer a lot on its own. “Which orders shipped this week haven’t posted to accounting yet?” is a Fishbowl-only question, and it works today.

Fishbowl doesn’t keep the debits and credits themselves. It works them out at the moment it sends each transaction, so the exact journal lines live only in QuickBooks or Xero.

Adding the books

QuickBooks Online and Xero each offer their own connector for AI assistants. With one of those in the same chat as ILC MCP, the AI can read both sides:

  • ILC MCP answers what Fishbowl shipped, received, built, and sent to accounting.
  • The accounting connector answers what’s actually on the books.

The AI matches the two using the transaction number Fishbowl saved when each document posted. Where that’s missing, it falls back to the order number, date, and amount. ILC MCP works alongside those connectors. We don’t build them.

Questions it can answer

  • Which invoices in QuickBooks have no matching Fishbowl order?
  • Which Fishbowl shipments posted twice, or posted and were then voided in only one system?
  • Why did the inventory asset account move by more than Fishbowl’s inventory value this month?
  • Which purchase orders were received in Fishbowl but never billed?

The last two are where it saves the most time. You get the list of documents that explain the gap, with the order numbers on both sides.

What we’re building next

We’re planning a QuickBooks Online and Xero add-on for ILC MCP, so one connection covers both Fishbowl and your books. It will come with generous usage limits, so a month-end reconciliation doesn’t stall halfway through because the chat ran out of calls, and you can close on time.

Until then, your accounting system’s own connector in the same chat does the job.

What it doesn’t do

  • It doesn’t post or fix anything. ILC MCP reads, and any correction is made by a person in the system it belongs to.
  • It doesn’t replace your accountant. It finds the documents that differ, and someone who knows your books decides what to do about them.
  • Some gaps need more than matching. A cost that was wrong when it posted shows up as a matching pair of documents with the wrong amount, and finding why takes someone who knows how Fishbowl costs inventory.

That last kind is the work our Fishbowl and QuickBooks reconciliation service does. Often the AI chat finds the documents, and we find the reason.
